Subscription Overview
What is Subscription Management?
Subscription Management provides a comprehensive view of your active Retrofit units and OEM units. This feature ensures accurate tracking and billing visibility for all deployed devices, giving you complete transparency over your service subscriptions.
Subscription Types:
- Retrofit units deployed to your locations
- OEM units (freezers and cabinets with integrated cameras)
How are Subscriptions Created?
Subscription Start:
Subscriptions start from the first day an image is captured from an assigned asset in a store.
Exception:
Retrofit device subscriptions will automatically start if 3 months have passed since device shipment date.
Subscription Requirements
For a device or asset to be included in your subscription:
- Must be assigned to a specific outlet location
- Outlet must be designated as Store type
Exclusions:
- An image from Factory or Warehouse location does not trigger subscription start
Subscription Duration
- Minimum Duration: 1 year
- Continuation: Subscriptions continue perpetually until the unit is specifically decommissioned
Managing Device Lifecycle
Decommissioned Device Handling
When decommissioning devices, the subscription end date is automatically calculated to honor your minimum commitment:
- The system compares the decommission date with the 1-year commitment period
- The subscription end date is set to whichever date is later
- This ensures compliance with the minimum 1-year subscription term

Using the Subscription Dashboard
Monthly View Filter
Located at the top of the page, the month selector allows you to:
- View subscriptions active during any specific month (e.g., December 2025)
- Validate monthly billing accuracy
- Analyze historical subscription data
- Compare subscription trends month-over-month
Client Summary View
The summary grid provides an at-a-glance overview showing:
- Your organization name
- Total active subscription count
Click on the subscription count to drill down into detailed device information.
Device Details View
The detailed view displays comprehensive information for each subscribed device:
Available Information:
- Subscription Type — Device category (Retrofit units or OEM units)
- Serial Number — Unique device identifier
- Outlet Code — Location code
- Outlet Name — Location name
- Asset Serial Number — Associated freezer or cabinet identifier
- Start Date — When the subscription began
- End Date — When the subscription expires (if applicable)
This detailed view helps you verify device assignments, track subscription status, and validate billing information.
Exporting Subscription Data
The Export function enables you to download subscription data for:
- Financial reconciliation and billing verification
- Internal reporting and audits
- Sharing data across departments
Note: Exported data reflects all active filters, including selected month and client view.
