Overview
Welcome to CoolR! This document provides a comprehensive overview of your onboarding journey. Once hardware is deployed in-market, onboarding can be approached at three progressive levels based on the scale and scope of your operations.
Integration Level
Simplified
Once the device is successfully installed on an asset:
- Images are captured and sent to the CoolR system.
- The system can process images even if a Planogram (PoG) is not yet assigned.
- You will be able to view images, but no analysis will be available without PoG data.
Intermediate
For basic image analysis and insights, the following steps are required:
- Create product entries in the system.
- Create and assign Planograms (PoGs) to assets.
- Once PoGs are assigned, the system starts generating in-store merchandising analysis (e.g., compliance, presence, stock status).
Advanced
For enterprise or large-scale deployments:
- Manual data uploads become impractical.
- Choose between:
- CSV Import for bulk data upload
- API Integration for seamless, automated data flow
API integrations typically take 3 to 6 weeks to complete, depending on business process alignment and verification steps.

High-Level Onboarding Workflow
This overview outlines how you'll start using CoolR solutions in your organization:
- CoolR receives your Master Data (locations, assets, products, pricing, PoGs, packshots, and users)
- Master Data is set up in the CoolR platform
- Assets are deployed and cameras retrofitted (if required)
- System starts capturing images
- CoolR Playbook is configured to meet your business needs
- You access insights and reports through CoolR Playbook
- Receive alerts with key actions and recommendations
High level Timeline & Milestones
This section outlines the week-by-week timeline for onboarding, the key milestones, and the associated actions for a successful CoolR implementation. The timeline is contingent upon the final agreement with the client and the size of the project.

2-3 | Camera Delivery | CoolR will ship the devices to the designated contact and address in your market. | |
3 | Kick-off Session | CoolR will conduct an in-person kick-off to demonstrate the platform, train your team on camera installation, and define collaboration workflows. This typically includes a recurring weekly video call and regular communication via email. 3-6 | Installations | The CoolR mobile app displays nearby stores for the installer. Follow the step-by-step wizard to pair the camera to the outlet and place it inside the cabinet door; remote support is available to assist with any on-site issues. | - Install cameras |
3-6 | Data Collection (baseline) | CoolR begins collecting data as soon as the cameras are activated, analyzing asset images against the planogram with high accuracy. We then finalize the engagement strategy to enable the field operations team to act on these insights. | - Evaluate baseline performance. - Prepare alert emails |
6 | Enable Alerts | CoolR will implement sales rep alerts to drive behavioral change by highlighting outlets needing action, supported by images for verification. Alerts include KPI failure duration and auto-close when images indicate improvement. | - Switch on alerts |
7 onwards | Data Collection (live) | The project is now live, with data collection and rep alerts underway. During this phase, we’ll optimise technology, planograms, and messaging, while monitoring live data against baseline to assess behavioural impact on market performance. | - Prepare final report |
