CoolR Group Recruitment Privacy Notice

CoolR Group Inc. ("CoolR," "we," "us") respects your privacy. This notice explains how we handle your personal information when you apply for a role with us. It applies from the moment you submit an application.

What we collect​

  • Contact details (name, email, phone, location)
  • Your CV/resume, cover letter, and application answers
  • Notes from interviews or conversations with you
  • References, if you provide them
  • Results of any assessment or test you're asked to complete as part of the process

We only collect what we need to make a hiring decision — for example, we don't ask for your date of birth, marital status, or nationality.

Why we collect it​

  • To evaluate your application and suitability for the role
  • To communicate with you throughout the hiring process
  • To meet any legal or regulatory obligations connected to hiring

Who sees it​

CoolR doesn't currently have a dedicated HR or recruiting function. Your application is handled directly by the hiring manager for the role, along with any colleagues involved in interviewing you. Our CEO reviews and approves all hiring decisions and offer details, so they'll also see your information at that stage. We don't sell your data or use it for unrelated marketing.

If you're successful, your details are shared with our onboarding and payroll partner (Deel, for employees) or used to set up contractor invoicing, as needed to finalize your employment.

How long we keep it​

  • If your application isn't successful: we delete or anonymize your information within 6–12 months of the process ending.
  • If you're hired: your information moves into your employee record, covered by our employee privacy notice instead.
  • Talent pools: if we'd like to keep your details on file for future roles beyond the periods above, we'll ask for your explicit consent to do that specifically.

Your rights​

Depending on where you're applying from, you generally have the right to:

  • Ask what personal data we hold about you and get a copy of it
  • Ask us to correct inaccurate information
  • Ask us to delete your information
  • Object to, or ask us to restrict, how we use it
  • Where applicable (for example, under GDPR), lodge a complaint with your local data protection authority
